Abbreviations and acronyms

Use abbreviations and acronyms sparingly and keep our audiences’ frames of reference in mind. Remember that acronyms cannot be heard accurately by those using a screen reader, and those outside your professional discipline may not know those acronyms. Always sufficiently explain the programs and concepts behind abbreviations.  Most acronyms don't fall under our plain language guidelines; think twice before employing them!

When using abbreviations, note that the words in the phrase don’t have to be capitalized — only if it’s a proper noun. In the example below, the words “volatile organic compounds” do not require capitalization.

Example:
The company changed its painting process to reduce emissions of volatile organic compounds (VOCs). 

Some common acronyms are more recognizable than their full spellings. For example, NASA, NAACP and FBI. In such instances, the acronym is always acceptable. 

If possible, use a shortened name instead of an abbreviation on second reference.
